Our global life sciences clients needed to ensure the adoption of the second phase of their SAP S/4HANA transformation across 26 countries. Phase 1 had faced challenges caused by insufficient engagement and a fragmented change network, which left employees unclear about the purpose of the transformation and their roles within it, making it difficult to drive the desired behaviours and align the organisation for successful change. Therefore, the client sought to establish a network of change ambassadors to help employees buy into ‘the big picture’. These diverse ambassadors had varying skills and priorities, making it difficult to ensure alignment and consistent communication.

To address this, Afiniti were engaged to tell a compelling story that illustrated the purpose behind SAP S/4HANA and how this change would impact individuals, teams and the broader organisation. Recognising the diversity in the ambassadors’ roles, knowledge and time, we developed an interactive onboarding programme that incorporated gamification in change management, which allowed ambassadors to engage with the transformation in a dynamic and memorable way, deepening their understanding of the project and fostering a sense of ownership.

  • Designed an impactful rich picture that brought the project’s story to life, connecting it to the company’s vision and values to ensure an emotional connection to the change.
  • We created an interactive online onboarding game for ambassadors that turned their induction and learning process into an engaging, enjoyable experience, empowering them to discover the project, their roles and the benefits of the change.
  • Developed a progress tracking tool to visually guide ambassadors through their onboarding journey, fostering accountability and driving sustained engagement.
  • Produced a voiceover and visual content that communicated the compelling “why” behind the project, simplifying complex concepts and making the transition to SAP S/4HANA relatable and memorable for all stakeholders.
  • Crafted a clear, step-by-step visual process map to support a mega-process, helping employees in indirect procurement understand the upcoming changes.
  • Launched a dedicated SharePoint site to support one of the mega-processes greatly impacted by the change, offering a wealth of resources, training materials and FAQs that empowered end-users to easily navigate the changes and feel confident.
