Project Overview

Our Energy client’s HR function was hindered by outdated systems, localised processes and inconsistent employee experiences. Teams were spending a disproportionate amount of time on transactional tasks rather than value-added activities. To address this, our client envisioned a seamless flow of data through integrated and automated HR systems, providing similar experiences for both onshore and offshore employees. This vision led to a comprehensive HR transformation, driven by the implementation of a new cloud-based HR software, SuccessFactors.
Afiniti was onboarded as the Business Change Lead and SAP SuccessFactors implementation partner to drive change activities and engage the business on this transformational journey, leveraging our deep understanding of our client’s culture and strategic goals. Over a period of 10 months, Afiniti played a crucial role in aligning stakeholders, developing targeted communication strategies and ensuring a seamless transition to the new HR solution for 8,000+ people.
Our Solution
- Provided mentoring and coaching to build change management capabilities, enhance change maturity and embed a change culture into daily activities
- Co-created key messages with the client, aligning leaders and reinforcing consistent communication across all levels of the organisation
- Developed a compelling visual identity aligned to the programme goals which resonated with key stakeholders, building engagement and excitement for the new solution
- Collaborated closely with internal teams such as Group Communications and Group Learning as well as the technical SAP SuccessFactors implementation partner, from planning and defining the scope through to implementation
- Supported change impact assessment activities and used the outcome to define the change and communications strategy
- Developed and delivered clear and consistent messaging through various channels, which supported engagement with key stakeholder groups, including:
• Targeted personas aligned to the impacted stakeholder groups
• Engagement deck
• A one-stop intranet hub central repository for all project-related information, ensuring easy access and accurate information (SharePoint)
• Videos including how-to, system overview, animations and sponsor videos
• Steering committee / HR board decks and communications
• Facilitated workshops, focus groups and feedback sessions
- Onboarded an adoption network and equipped them with the skills and tools needed to support the change in their regions and functional teams
- Co-created a compelling go-live campaign, engaging stakeholders across the entire business
The Differences We Made
- Clear and consistent messages supported business buy-in and ultimately greater acceptance and adoption of the new solution. Following go-live 13,854 unique people had accessed the new solution.
- Established an adoption network with over 25 volunteers in the first week, equipping them to effectively engage the business and encourage participation in the change process from regional and functional teams. This drove greater awareness of the programme, timeline and impact to the business.
- Ensured communications and engagement activities were aligned with our client’s culture, making the change feel more integrated and accepted by employees.
- The SuccessFactors Hub SharePoint site has had 20,000 visits since launch, this one-stop shop provides access to information and learning materials, This empowered employees to help themselves easily and relieve pressure on support teams during the hypercare period.
- Supported our client to build internal change capability and maturity allowing them to be self sufficient and rely less on SAP SuccessFactors implementation partners in the future.
